Position Overview

We are seeking a proactive, highly organized Executive Assistant to support the Chief People Officer. The ideal candidate excels in fast-paced environments, demonstrates outstanding attention to detail, and can manage complex responsibilities with professionalism and discretion. This role requires strong global calendar management, inbox oversight, and travel coordination.

The Executive Assistant will collaborate closely with other administrative professionals and play a key role in enhancing the effectiveness and efficiency of the Human Resources organization.


Responsibilities

Core Administrative Support

  • Serve as the primary point of contact for the senior executive, managing priorities and ensuring optimal use of their time.
  • Prepare materials and briefings to support the executive in advance of meetings.
  • Draft correspondence, screen phone calls, and redirect inquiries appropriately.
  • Coordinate domestic and international travel, including visas and expense reporting.
  • Assemble, edit, and proofread presentation materials for senior leadership and board-related meetings.
  • Oversee timelines and ensure on-time delivery of materials for HR and talent-related processes.
  • Support onboarding for new direct reports, ensuring all technology, materials, and schedules are in place.
  • Create and update PowerPoint presentations, Excel spreadsheets, and various business documents.

Cross-Functional Collaboration

  • Partner with communications teams to draft internal messages and support posting to corporate channels.
  • Work with leadership, communications teams, and executive support staff to prepare materials for company-wide and leadership meetings.
  • Assist in preparing materials for internal events, leadership sessions, and board-related engagements.
  • Maintain strong professional relationships across all levels of the organization and external stakeholders.

Operational & Event Support

  • Manage logistics for meetings, including room setup, catering, and coordination of resources.
  • Provide backup coverage for other executive assistants as needed.
  • Lead administrative planning for off-site meetings, managing invitations, materials, accommodations, and transportation.
  • Prepare ad hoc reports and handle additional tasks requested by senior leadership.

Basic Qualifications

  • Experience supporting a senior executive in a demanding and fast-paced corporate environment.

Preferred Qualifications

  • Bachelor's degree and 5-7 years of experience supporting C-level executives, ideally within a global organization.
  • Previous interaction with or support of board members.
  • Strong judgment, discretion, and experience handling highly confidential information.
  • Ability to work independently, make decisions, and manage ambiguity.
  • Exceptional attention to detail and organizational skills.
  • Ability to multitask, prioritize effectively, and respond quickly to shifting needs.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong customer service orientation and collaborative mindset.
  • Mastery of Microsoft Office applications (PowerPoint, Excel, Word, Outlook, Teams). Experience with board portal and travel/expense systems is a plus.
